Additional MY Recruit Form Improvements – Custom Field Formatting / Rich Text Support for Gateway Description
The Gateway (MY Recruit) description now supports rich text formatting which also allows you to include links and other HTML content.
The Gateway text is displayed on the job application form and a useful way of presenting a detailed job description or other data.
It also includes some minor formatting changes to the positions page including a new Apply Now button format as well as improved definition / presentation of Recruitment custom fields.
New Day by Day Timesheet Approval with individual Day re-routing
One of the biggest improvements and new features in 5.05 includes day by day Timesheet approval and correction re-routing. This new approval view and functionality will be automatically available after the update.
Before 5.05 – Previous Behaviour / Presentation
Prior to the update Timesheets need to be Approved / Denied or Sent Back as complete
workflow. In the new version see screenshot below. Decisions can be finalised on a day by day
basis. Where a day is denied for approved – the Time Record for those days is stored while any
specific days sent back for employee adjustment are re-routed using the existing workflow.
After 5.05 – New Approval View / Functions
The workflow processing button is now conditional if all days are either approved / denied the workflow is finished and the approved days are created as Time Records immediately. While if any day is Send Back – see above screen then the approved days will be created immediately while the workflow is sent back for employee correction. But only allowing the employee to either cancel or correct the day sent back.
Punch / Clock Manager Approvals – allows punch records to be automatically added to a Timesheet workflow requiring manager approval and allowing for punch / clock corrections.
Previous all Punch / Clock records where automatically created as reviewed and a manager was required to review completed time to ensure accuracy and flag any corrections.
Clients now have the ability to incorporate Timesheet approval with Punch records. This new setting is available globally and can also be assigned to Groups as well as at an employee level.
Please note that there must be no outstanding / active punch records in the period when activating. So it’s suggested if clients want to activate this feature for use it is activated at the end / very beginning of a new weekly cycle.
We have decided to use a weekly cycle (see screenshot above)
Essentially when activated if Auto Approval is not enabled – Punch / Clock Records will
automatically be added to a new Punch / Clock Timesheet.
These can be opened / accessed by the employee under Incomplete workflows in the Todo >
Workflows form. Please note when the Punch Timesheet opens you will notice that the Source is
indicated as Punch Manager
If a punch record needs to be adjusted the employee just opens the day and corrects the punch
record. If this occurs the original punch record will remain in the workflow for an employee and
approver to view and see but the manually created / adjusted record will be shown in a table
below. See the below example.
The employee can submit the timesheet prior to the end of the cycle – however if they have not
submitted it directly at the end of the Timesheet cycle it will be automatically submitted to their
Time Card/Sheet Templates can be established globally or linked to groups
You can now establish default timesheets – start/end times and allocations against Time Templates under the Time (Time Records) > Admin > Time Templates area.
This is in addition to the ability for an employee to setup their own default Timecard/Sheet under the Time Record/Card template form.
This saves employees setting up a default if either a company or standard timesheet applies to a particular department, job role etc.
New Leave (Time off) balance page combining records and balance pages
Leave (Time Off) balances and records pages have now been consolidated in to a single view page. This makes it easier for employees to view balance and record information in a single screen. See sample below. New filtering and sort options have also been provided. It will either be displayed in tiles – above and below on smaller screens (see sample below) or side by side on larger desktop views.
Improved domain mapping for SSO (Single Sign On) support
After trialing SSO Active Directory support for a number of clients we have added some additional parameters to cater for different LDAP / Active Directory domain structures. ActionHRM’s SSO still requires the employee to login to access the system but can valid their password / login pair against your Windows Active Directory user account. Updated Planner View – Stage 1
We have introduced some basic planner improvements and changes in preparation for our new updated Planner. Expect some major improvements and new functionality in the following releases.
Key changes for 5.05 include (although minor documented as a frequently used area)
• Inclusion of default staff depth (subordinate filters) so senior managers will see
immediate and second level reports by default unless they remove or choose to change
• Planner filters are always maximized
• Relocation of the planner date range filters.
Improved HR3 Pay Item Extraction changes for Timesheet data integration
Clients can now easily choose to include / or exclude normal hours from Timesheet extractions when sending Timesheet data to HR3 Payrolls (and other payrolls) this is extremely useful if you only wish to pass across excess or penalty hours through to the payroll. Many payrolls support a standard pay feature for regular / contracted hours and simply need / want the excess hours.
